OfficeBuzz handles face, location and attendance data for your employer, so we want to be plain about what we collect, why, and what you can do about it. This policy covers the OfficeBuzz website, the admin panel and the OfficeBuzz employee app for Android and iOS.

Your employer chooses to use OfficeBuzz and decides what is recorded about you; they are responsible for your data (the data controller). OfficeBuzz runs the service and processes that data on your employer's behalf and under their instructions.
Your employer creates your OfficeBuzz account. We store the details they enter — such as your name, contact details, employee code, role, shift and pay settings, bank details for payroll — along with an optional profile photo you upload. You cannot create an account from the app yourself.
With your consent, your face is registered once and converted into a numerical face signature (a list of numbers, not a photo) used only to recognise you when you mark attendance. The signature is stored on our servers and used for no other purpose. The camera image taken at each check-in and check-out is stored with that attendance record so your employer can review it. Face data is never sold, shared for advertising, or used to train third-party models.
When your employer has set an office location, the app reads your device location when you mark attendance and sends it to our server only to check that you are within the allowed radius; the coordinates are not saved with your attendance record or shown to anyone. If your employer uses office-only attendance, the app also checks your location on the device when you open it, only to decide whether to show the attendance screen. The app does not collect location in the background or track you through the day.
The app asks for: camera (face attendance and profile photo), location while the app is in use (office radius check), photos and files (profile picture and documents you choose to upload) and notifications (reminders and updates). You can refuse or withdraw any of these in your phone's settings; features that need them, such as face attendance, will then stop working.
Attendance times, leave requests, salary and payslips, documents you or HR upload, tasks, appraisals, holidays, reminders and notifications are stored so the service can work for you and your employer.
Your data is visible to you and to staff at your employer whose role gives them access. We do not sell personal data, and we do not use it for advertising. We share it only with the service providers listed below, or when the law requires it.
OfficeBuzz is hosted on Amazon Web Services (AWS) in Mumbai, India, which stores our databases, files and photos and sends our emails. Some in-app features use Google Firebase. These providers process data only to run OfficeBuzz and are bound by their own security and privacy terms.
Data is sent over encrypted (HTTPS) connections, access is protected by login and role-based permissions, each company's data is kept separate, payslips and employee documents are kept in private storage and opened only through short-lived links, and only authorised people can reach production systems.
We keep your data while your employer uses OfficeBuzz. When your employer deactivates you or closes their account, or when you or your employer ask us to, we delete your face signature and attendance photos and remove or anonymise your other personal data within 30 days of a verified request — except records your employer must keep by law, such as payroll and statutory records, which are kept only as long as required.
OfficeBuzz is a workplace tool for employees and is not meant for anyone under 18. We do not knowingly collect data from children.
If we change this policy, we will update the date at the top of this page and, for significant changes, tell your employer before the change takes effect.
